Description

Key responsibilities:

  1. Coordinates the day-to-day administration and logistics of scheduled face-to-face and online training courses. Maintains the chat room for courses.
  2. Sets up and supports the delivery of online training courses.
  3. Coordinates enrollments and answers routine inquiries regarding courses, schedules, and locations. 
  4. Informs existing employees of scheduled training and track their progress. Maintains in-house training materials, documentation, equipment, and order training supplies when needed.
  5. Answers e-mail and phone inquiries about scheduled training courses and forwards e-mails and phone inquiries about other services.
  6. Performs miscellaneous job-related duties as assigned.

Specific tasks to include:

  • Coordinates the day-to-day administration and logistics of the scheduled face-to-face and online training courses.
  • Ensures effective logistics before and during course implementation including: liaising with the venue, undertaking administrative preparation of course materials in liaison with the trainers, supporting trainers with formatting and branding of materials and ensures the smooth running of all courses.
  • Manages all applications from initial inquiry stage to participation and follow-up, ensuring high quality of service delivery and responsiveness to clients’/participants needs.
  • Supports the development of needs assessment surveys, feedback and monitoring systems
  • Provides analysis of the participants for reporting on the training program.
  • Provides support on filing, organizing and archiving training materials.
  • Assists with any other tasks required to support the training department in terms of scheduled courses.
  • Sets up and supports the delivery of online courses
  • Sets up courses using learning management software (Zoom), including updating and setting up instructions and uploading course materials.
  • Liaise with trainers and participants to provide logistical and technical support before, during and after the online learning course.
  • Supports trainers with formatting and branding of materials.
  • Supports tailor-made training courses that have an online component, as requested.

Qualifications, competencies and experience:

  • Excellent IT and formatting skills (Microsoft Office)
  • Strong customer service skills
  • Strong interpersonal and communication skills
  • Experience with or willingness to learn how to use on-line learning and conferencing tools and software
  • Ability to work under pressure, to multi-task and prioritize
  • Good mathematical skills
  • Ability to work as part of a team and on own initiative
  • Problem solving and decision-making skills
  • Efficient and organized with good attention to detail
  • Experience with Zoom
  • Must successfully pass background check
